Permanent position as Personal Assistant (Energy, Durbanville, Cape Town)

We are looking for a talented and passionate Personal Assistant to the manager of the Energy Department interested in managing the administrative side of the Energy Department as well as the day-to-day activities of the Department Manager.

The position:

  • Working space is an open plan and very communicative office;
  • Collaboration in an encouraging team environment;
  • Based in the centre of Durbanville, close to access routes, wine farms and all amenities in a flourishing neighbourhood.

Desired administrative and personal skills and experience:

  • Diploma in office management / secretarial or administrative
  • 10 years minimum of specific administrative working experience
  • Be adaptive, capable, receptive and versatile in an Engineering field
  • Willing to learn software packages that will be used daily
  • Working independently as part of the team, under pressure, setting goals, self-driven and contribute positively to the Energy Department
  • Strong listening and communication skills
  • Technical capabilities in maintaining daily office equipment
  • Valid driver's license with unfettered access to a vehicle
  • Experience in the building industry

Desired software skills and software experience:

  • Highly proficient in advanced MS Office (Excel, Word, PowerPoint, Outlook)
  • Knowledge and experience on how to integrate different software packages
  • Experience in the use of ERP software such as VantagePoint or Proman will be beneficial.

Task description:

  • General admin and project duties which includes:
    • Administrative Support to Technical Manager and staff
    • Filing soft and hard copies and file maintenance as per Quality Management System
    • Document control as per ISO (QMS) requirements
    • Staff CVs, ECSA registration, training etc
    • Minutes of Department meetings
    • Formatting / compiling of documents in excel, word and pdf formats
    • Email correspondence and diary management
  • Procurement and Documentation:
    • Compiling tender documents for tendering and tender support to other offices
    • Completion of tender documents for submission
    • Tender reports and BOQ data capturing for Technical Manager
  • Financial:
    • Debtors and creditors
    • Invoicing and subconsultant invoice management
    • Upkeeping of ERP database with Clients', Projects and Subconsultants details
    • Statements to clients
    • Compiling project reports from ERP softare

Salary Package:

  • Medical Aid, Group Life and Provident Fund is included in total cost of employment and is compulsory to all staff.
